Annual Updates Due date

Sat, August 31, 2024, at 11:59pm
Email call sent in June
Due: Annual Reports, Toolkits, Web content, Archival material

August 31 is the due date for annual reports and updates. Annual Reports, Toolkits, web page updates, operating document updates and archives collections are all due each year on this date.

At the end of each fiscal year UMRA leaders are expected to prepare and submit annual reports, toolkits, and any appropriate archival documents, and also to revise and update their website pages. The Organizational Continuity Committee (OCC) is responsible for managing and monitoring this activity on behalf of the Board.

The OCC will email the overview and templates to leadership to use in preparation of your Annual Reports and Toolkits. The overview gives a description of what the report should include, and the template provides a suggested format.  See attachments below.  The call for updates to archives, websites and web-based documents will be sent to appropriate individuals.

Each year the OCC will review all reports and present a summary to the Board of key issues, challenges, ideas, and outcomes that may be helpful to the organization as a whole. As the organization’s new president last Fall, Eric joined the OCC review committee in reading every report and acted on several ideas and recommendations suggested. The OCC will also assure that all documents are posted to the UMRA website and will prepare materials for University Archives.

Toolkits: Updating or, if necessary, creating the toolkit for your area will ensure continuity and improve efficiency in carrying out its operations and essential leadership functions.

Examples: You should be able to access a copy of last year’s annual report and toolkit on the UMRA website under the Resources menu→Governance Documents→[category] Archives→[your position].

Format: Please be sure every document includes the following: Date, your name and position, and document title (Annual Report, Toolkit, or other appropriate title). See the policy document, Format Guidelines for UMRA Documents.

Submit to: Please submit your digital material to OCC Co-Chair Cathy Lee Gierke at [email protected] and UMRA Archivist Julia Wallace at [email protected], no later than August 31, 2024.
